Hybrid Meeting Etiquette
- Be excellent.
- Attendance and voting can be found in the #meetings slack channel.
- Please show up early if you are concerned about your audio.
- If there is no one waiting to speak feel free to do so at the next opportunity.
- If there is someone waiting to speak, please say that you are raising your hand in the google call chat. (This will be demonstrated)
- Please refrain from other side conversations, these can be distracting for the rest of the meeting and make it difficult for the chair to keep track of what's going on.
- If you're in the space remember that having a single person speaking at a time is helpful for those attending online.
Introductions
What does being excellent at i3 mean
An experienced member explains what being excellent at i3 means to them
- Hans: Being excellent means respecting Zone Coordinators; and asking permission for changes in their zone (Hans C.). Aj H. and Emerson C. wanted to help declutter the Classroom by moving the touch up paint to the paint zone. Despite their strong enthusiasm for cleanliness, they showed excellent restraint in asking me first. And they respected my initial refusal to their request. Which made it a lot easier for me to change my mind and say 'yes' to their request a few days later. And my interaction improved my relationship with them afterwards. The Classroom is a bit cleaner due to their efforts and they've improved the collaborative atmosphere at i3!
Experienced Members
- Jeff B: Not president, but on teh board. Presiding teh meeting today.

Member meeting usage survey
(by Wei, based on Mara's email[2] from February)
As an alternative to having more member meetings in the future, we want to consider if it would be more useful to have more social/working member meetings, and reserve formal meetings (where we decide on legal business that needs a vote) to a few times a year. We want to find out the utility of member meetings to the people who attend them.
- We've had twice as many member and board meetings before chaos ensuing whether we can vote.
- Why do you attend member meetings (what do you get out of them)?
- Do you read the meeting minutes, and if so, what do you get out of them?
- AJ: Reads the meeting minutes constantly to double check and see if we talked about something nd what conslcuiosn we come to. Also to see what proposals we have. Attends ember meetings since its fun and also likes hearing about stuff
- Wei: likes to have something to look forward to and be connected with active projects.
- James O: Will read meeting minutes of he wasn't here. If he comes here he doesn't read them. Shows up to see what's going on or to present something. Also tries to track down new people!
- Jeff B: As members of the space we own and operate the space. It's also our duty to govern the space.
- Paul: Fun seeing show and tell and doing social stuff. Does read meeting minutes. Will check teh agenda for the next meeting.
Storage Proposal(s)
Vibe Check: Potential formation of a Storage Committee (Added by Aj) (Committees must be formed by the board, this is an interest check before the next Board meeting)
The Storage Committee would be a more formalized group of people who have interest in helping out with space storage. The exact details and scope of the committee will need to be verified and discussed with the board, but it could include things like keeping an eye on member storage, helping organize storage spaces, and being a point of contact if anyone needs help filling out a parking permit / ticket (anyone can issue these, but multiple people have mentioned being confused by the process, and having a defined point of contact could help with this).
This Committee would also prevent i3 from having a single point of weakness wrt storage (things won't fall apart if I mysteriously disappear), and hopefully help prevent any one person from getting burnt out by the sheer amount of things to do and improvements needed.
- Hans: As a ZoCo, you can delegate work to a "deputy" or a co-ZoCo.
- If there were more people, that would help a lot
- Alex: what's the difference between making committee or a zone
- Can power be delegated down by a ZoCo?
- It looks like the draft bylaws will address this
(Open to additional ideas)
Reinstate Storage Reaping (Proposed by: Aj)
Context
Every 6 months, anyone who has a storage space needs to meet with the Storage Zone coordinator, a board member, or other board/storage-approved person, to review their storage space. This includes confirming they're still using the space and making sure all materials are stored safely and within the boundaries of their storage plot.
Ideally this would happen during Potlocks, but anyone who cannot attend Potlock may arrange an alternate meeting time. Arranging an alternate meeting time is the responsibility of the member using the storage plot. We will not chase you down.
During the Reaping, the Reaper will check your plot and provide relevant feedback. You will be encouraged to clean your plot, and if there's anything that goes against Storage or i3 general rules, you will need to fix it. The plot's 'last reaped' date will be updated once your reaping is complete and any issues have been resolved. By having a storage plot claimed, you agree to adhere to the Storage Reaping procedure.
Each storage space needs to have a "last reaped" date within the last 6 months. Any plot that goes past this limit without contacting the Storage Zone will be subject to a storage plot parking ticket, and if is not resolved within a week, your claim on the storage plot will be removed and anything left in it will be considered abandoned and removed.0 Ayes / 0 Nays
Result: '
- How about every January and June/July, we just throw everything out and refresh the storage?
- Reaping before: we stopped doing it since person in charge interpreted the rules very strictly. Teh deifinitionwa s clean out teh plot. One person interepereeted as empty you rplor and teh other was "no junk on your plot." Then the reaper threw out the stuff so now we don't have a reaper and have storage problems.
- Another idea is have a yellow index card as a warning, then orange, ad then removed. Or putting something that says "are you still using this?" so that somebody has to verify that they still use it.
- Jeff used to hunt down the people to find out what they wanted to do with the stuff.
- A similar system to renewing a license plate tag
- When somebody had their stuff thrown away, you have to contact people.
- Daniel will connect with AJ on how we can change the standing rules
Zone updates
Automotive Zone
- The new tire machine and wheel balancer are officially set up and ready for training! This upgrade was made possible thanks to the generous contributions of many members — thank you to everyone who chipped in! Your support helped bring this much-needed tool to life.
- Reach out to Jeremy if you want to be trained on it. There may be other trainers soon too.
Bicycle Shop
- This isn't actually in the Table of Zones. Should it be / is there a coordinator? - Aj
- This may have gotten folded into tool crib. It doesn't have a ZoCo. It needs to be checked if it was actually removed. Add it to the board's agenda.

Classroom
- Zone Update by Hans C., Classroom Zone Coordinator.
- Professional Grade Video Conferencing System: We now have a professional grade video conferencing system in the Classroom! It's located just below the television and it has a wide-angle, tracking camera along with an echo cancelling speakerphone. Participants will be able to speak naturally without needing a separate camera/microphone brought up to them. It's incredibly easy to use with existing computers and tablets. Many Thanks to Mara F. for providing us with this system and to Matt H. for doing a great job installing it to the Television. See #classroom(Slack) and Classroom [3] (Wiki) for more details. Direct all questions & comments to #classroom (Slack).
- Air Conditioning: The classroom now has air conditioning working again thanks to the great work and leadership of Alex Tsuker and his friend Sergay. We'll be able to use the Classroom in comfort this Summer!
- Touch Up Paint: Storage: The Classroom's touch up paint is now being stored in the paint zone in a big titled 'Touch Up Paint' thanks to Aj H and Emerson C. Thanks to their efforts, the Classroom is less cluttered!

- A-Side Office Area: Air Conditioning Fixed! (Hans C.) Last Saturday (3 May 2025), A-Side’s office air conditioning was fixed by Alex Tsuker and his friend Sergay. We can now enjoy the Classroom, Media Zone, and the Elab in comfort this Summer. Big thank you to Alex’s leadership and initiative in spearheading this repair, along with Sergay's work and technical support!

- It is set up in a way where its could support software

Sewing Zone
- Quick reminder that the countdown to sewing's budget expiration is now under 30 days. David and I are tracking purchases and remaining amounts, and things we still need. However, if there are things contingent on work yet to be done, like the tables and more wood, or tables and needed base materials etc.... hardware for stuff, that will require related projects to begin soon, so additional materials purchases can be identified while we still have access to the budget.
- May seek additional time with the budget to finish it
- We have at least a portion of the plywood for the cutting tables / ironing table top. These are ready to get cut on the CNC and then we can work on assembly. Quantities were somewhat of a guess, so another trip to get the remaining materials may be required.
Storage Zone
- Reminder that there's now a form where you can provide recommendations / feedback / ideas for Storage 🙂
- Even if you've told me an idea in person, you can submit it in the form too! (Makes it much, much easier for me to remember and keep track of things)
- Cleared out abandoned materials spanning two plots + another former-member claimed plot, sorted out one pair of multi-claim plots
- Started 'templates' to use for contacting people (emails: parking ticket for a storage plot, unlabelled storage plots, storage plot claimed by non-member, more to come)
- These are located in the i3 share drive, Storage Management folder
- Fixed board that was somehow partially knocked off the pylons
- Please tell me if something like this happens so I know it needs to be fixed (or just fix it). Don't just leave it for me to eventually find. It's ok that it fell -- it isn't ok that no one said anything. I am putting a lot of time and effort into this stuff, it really sucks to come in and find it damaged, and have no idea what happened or how long it's been like that.
