- Ongoing transition from old CRM to Helloclub. Door access will be revoked for those who do not switch over.
- As of January 1st, if you haven't moved over to hello club, you will to have access
- Final budget approvals for zones happening at the next board meeting. Please contact a ZC if you have any ideas for new tools or capabilities.
- Will need these ideas at least a couple days before the meeting

Usage Hold Proposal Vote
Per the previous meeting, there was positive discussion around formalizing a "Usage Hold" into the standing rules. The board has already been using this as disciplinary action.
Modify the Standing Rules. After the section named "Access" and before the section named "Probation," add a section named "Usage Hold" with the following:
- A member on a Usage Hold temporarily loses one or more specific usage privileges, such as access to defined zones, equipment, storage areas, or permits, but retains all other member privileges.
- Grounds for a Usage Hold include, but are not limited to, when a member:
- repeatedly misuses or violates the rules of a specific shared affordance
- engages in a pattern of failing to remember, understand, or follow operational procedures tied to particular privileges
- has not engaged in a pattern of conduct judged by the Board of Directors to require Probation or Banning
- A Usage Hold shall be decided by majority vote of the Board of Directors. This does not limit the existing authority of Zone Coordinators to restrict access to their zones, equipment, or resources as part of normal zone governance. A formal Usage Hold would raise it to a board-level action. When placing a member under Usage Hold, the Board of Directors shall specify:
- Which privileges are restricted
- The duration of the restriction and/or the conditions required for reinstatement (e.g. demonstrating understanding of the related policies, presenting procedures to the Board or a Zone Coordinator, or completion of a defined period of compliance)
- Any escalation terms in the event of further violations
- Privileges are not automatically restored when the conditions are met or the duration expires, and may only be restored by majority vote of the Board of Directors. If there is failure to comply with the terms of Usage Hold, or further violations during the probationary period, the Board shall vote to confirm that this has occurred. Upon this determination, the remaining time in the Usage Hold automatically converts to a Probation (see section 9, “Probation”).
Context
On multiple recent occasions, the Board has taken an action which is a lighter and more-granular corrective action than a Probation or Ban. A proposed name for it is Usage Hold.

Will be decided by the board. Cannot be voted by membership. Brought to the membership for discussion. Hans (previous Classroom ZoCo): likes the fact that Thomas has been nominated. Contributed a lot of help to painting and maintenance of the room. Feels that the classroom needs some love and care. May not receive the repair and maintenance it needs if it's not treated as a separate zone. AJ: may just name Thomas the ZoCo.
Zone updates
- Lift inspection was completed on 16 December - to be repeated yearly for compliance/best practice - cost was 196 USD
- Assistance is sought for exploring the possibility of having the floor area coated with epoxy/other coating - (budget request to board was soft-rejected, citing need for more planning/exact budgeting) Would like to get reference quotes from commercial companies, plan how to execute a DIY flooring job.
- Sid like to hold a class on car radio installation/replacement - specifically around the installation of touchscreen radios with Android Auto/carplay functionality in older cars (pre ~2016) - given new laws that have made touching your phone repeatedly while driving illegal - timeframe would be next couple of weeks - would be a classroom + practical demonstration. Would like to gauge interest from members that would be interested in attending. Donations to zone sought in place of fees.(Ref: https://www.michigan.gov/msp/divisions/ohsp/safety-programs/distracted-driving )

- Also seeking members who would like to teach classes (topics could be 'how to change a tire' /'how to change your oil' , or similar) to come forward - timeframe would be over the year. Reach out!

- Heat: Fixed & Thank You! After mentioning the lack of heat at the 25 November 2025 Member Meeting, several i3 members stepped up, literally to the A-Side rooftop, and fixed the malfunctioning capacitor on the blower motor. Thank you to Drew, Jeff, and Jerememy for performing the repair, Rose H for correctly diagnosing the problem, AJ for initial discovery, and mtfurlan for the initial post in #infrastructure.
- Floors: Thanks to Thomas, the Classroom floors look amazing! He led the charge to get the floors scrubbed on PotLock 13 December 2025.

- Planning to start table upgrades soon -- just waiting on budget approvals to start obtaining materials
- With the furnace working again, paper towel rolls are getting un-rolled by the airflow... considering paper towel holders that have an 'arm' piece and would prevent this
- The zone has some changes in where stuff is, resulting from organization happening during the December Potlock.
- Supplies such as paint, mats, dyes and stamps were consolidated on the north wall rack, letterpress and drafting cabinet swapped location a bit, screen printing supplies all moved into the green rack, and the center table and craft mat changed and has been in use for crafty things!
- Additional changes and upgrades pending approval in the budget process.
- Old-lab is getting plenty of use, thank you to whoever's been vacuuming occasionally
- New-lab is coming along, drop ceiling is the next step

- Embroidery machine has returned to the old room for now, while we build the new desk in the new room.
- Hoping to have tabletop materials soon for the embroidery desk.
- Just a reminder as we're in the snowy season, stamp off your snow outside the room/mop up puddles so that we can maintain the nice floor for all to enjoy.
- We now have a google sheet for claiming storage plots, so all members can see it without needing access to the old CRM
- This is (hopefully) a temporary solution while we figure out how to better integrate Storage with the new CRM

- Jan is attempting to make a budget request for a "repair" to our existing four-screen printing machine but has not yet submitted the request because she is missing some information.
- Been working to identify the missing parts.
- It is now known that we are missing a platen/pallet that holds the shirt. We would want the basic 16x18" size with neck (for ease of alignment). Wood is cheapest.
- It's known that we would need a universal bracket that attaches on the platen underside, and is secured with thumb screw, to the arm that the carousel sits on.
- We are missing this "arm" that the carousel attaches on. We have the carousel. It doesn't rotate. The arm must have a rotator on it. The arm either sits/bolts on a table, or is bolted to a stand. Table is most likely for us.
- With budget, Jan can buy the platen and the bracket but has not found an arm or replacement parts for a rotating base, so maybe we could make one and maybe that's why it was donated to us. Question is, what metal stock, and what parts do we need to budget for? Photos are on the craft zone slack.
- To note, setups can run hundreds or thousands, so the hope is we can repair this unit rather than throw it out and try to buy later.
- We have two other screen printing methods available but this one is the classic style allowing four colors or four designs without changing out the screen.
- Bit of good news - Nate checked the ink dryer and found out that it has power, but that it tripped the fuse before because it drew too much for the outlet. It has to be used on a 20-amp circuit, and only if nothing else is running. Craft has 20-amp circuits available, just be aware of other things drawing power.
- The reason why you'd want to use the ink dryer and not the vinyl zone heat press, is because the screen ink is wet, and the dryer sends high heat from the bottom of the unit, to the shirt on the platen, without touching it.
- So the ink dryer is useful because it can be used immediately, vs waiting for the ink to dry before putting it in the vinyl zone heat press.
- Please see Jan soon if you can help with fabrication of the missing parts. Either what materials to get, or what they're called, or the actual construction bit. Hoping to get request submitted, it's late.
